How to choose the best clinic management software in India
By the OrvexaTech team
The short answer
The best clinic management software for your clinic is the one that covers your whole patient day, keeps patient data private, has a price you can predict, and that your reception and doctors will actually use. There is no single best product for every clinic: a solo GP, a dental chain and a clinic with an in-house pharmacy need different things.
Before comparing vendors, write down four things:
- Which steps of the patient’s visit you want in the software: registration, queue, consultation, prescriptions, pharmacy, billing.
- How many doctors and front-desk staff will use it, and whether you have more than one branch.
- Your budget as a monthly figure, including GST.
- Who in your clinic is responsible for patient data and consent.
1. Start from your clinic’s day
Walk through one patient’s visit from the moment they arrive to the moment they pay. Most clinics follow the same path: reception registers the patient or finds their record, the patient waits in a queue, the doctor sees them and writes notes and a prescription, the pharmacy dispenses, and the front desk bills.
Every step you leave on paper is a step where details are copied by hand. Look for software where each step attaches to the same visit, so the prescription the doctor writes is the one the pharmacy sees, and the bill comes from the same record.
- If you run an in-house pharmacy, check for stock by batch and expiry tracking, not just a medicine list.
- If doctors order tests, check that orders are recorded with the consultation.
- If you plan to open a second branch, ask how multi-clinic setups are handled and priced before you commit.
2. Compare the real monthly cost
Clinic software in India is sold across a very wide price range, from a few hundred rupees a month for basic single-doctor tools to far more for full hospital systems. The lowest headline price is not always the lowest bill. Turn every quote into one number: what you will pay per month, all in, for the modules and users you actually need.
Ask each vendor directly:
- Is the price per clinic, per doctor or per user?
- Are there per-appointment, per-SMS or per-transaction fees?
- Are modules such as pharmacy, billing or reports priced separately?
- Is GST included or added on top?
- Is there a discount for paying yearly, and what happens if you cancel?
- Are setup, data migration or training charged separately?
- Can you export all your data if you leave, and is there a charge for it?
A cheaper tool that lacks a module you need often ends up costing more once you add a second product or keep a paper process alongside it.
3. Check how patient data is protected
Clinic software holds some of the most sensitive data there is. India’s Digital Personal Data Protection (DPDP) Act gives patients rights over their personal data, and your clinic remains responsible for how its patients’ data is handled, including by the software you choose. Treat privacy as a buying criterion, not an afterthought.
- Is each clinic’s data kept separate from other clinics using the same software?
- Who at the vendor can see patient records, and under what circumstances?
- Can you control which staff see what, and is access logged?
- Is data encrypted in transit and at rest?
- How does the vendor handle a security incident, and how will you be told?
- How are patient requests for access, correction or deletion handled?
Prefer vendors who answer these in writing. Vague answers here are a reason to keep looking. For legal questions about your own obligations, speak to a lawyer.
4. Setup, training and support
The best software fails if your front desk goes back to the register after a week. Ask how a new clinic is set up, how staff are trained, and how support is reached when the queue is full and something isn’t working.
- Does it run in a browser, or does it need installing on each computer?
- Who sets up your clinic, users and existing data?
- What support channels exist (email, phone), and during what hours?
- Can you try it, or see a demonstration with a workflow like yours?
5. Questions to ask every vendor
Copy this list into your notes and ask each vendor the same questions, so you can compare like with like:
- Which modules are included in the price you quoted?
- What will we pay per month in total, including GST, for our number of doctors and staff?
- Is our clinic’s data separated from other clinics, and who at your company can see it?
- How do we control and audit staff access?
- How do we export our data if we leave?
- How long does setup take, and who does it?
- What support do we get, and how do we reach it?
- Can we speak to a clinic like ours that uses your software?
Where Clinic OS fits
We build Clinic OS, so weigh this section accordingly. Clinic OS is not the lowest-priced clinic software in India. It is built for clinics that want registration and the OPD queue, consultations and prescriptions, pharmacy and inventory, and billing in one private workspace, with published prices.
- Plans are ₹8,999 a month (Basic) and ₹10,999 a month (Recommended, which adds pharmacy and inventory), including GST, with 20% off for yearly billing.
- Each clinic gets its own workspace; OrvexaTech operations work with anonymised counts, not patient content.
- It runs in the browser, so there is nothing to install.
- We review each clinic’s registration details before setting up a workspace.
If you are a solo doctor who only needs prescriptions, a lighter tool may suit you better. If you want the full clinic day in one place, see Clinic OS features and pricing, or read how we protect patient data.
